What are Product Data Feeds?

Here at WorldwideBrands.com we generally say to stay away from product datafeeds. They can create duplicate and triplicate content if other retailers are using those same feeds without editing the content. It can also get complicated because you need to make sure that the feed itself is setup properly for your selling platform. Trying to move things around yourself can create errors and other issues. Another problem you could face is not making sure that you have the most updated version DAILY. However, managed datafeeds can be an extremely helpful service to manage your inventory, as well as upload a large amount of products at once.

We asked the folks at Inventory Source to explain exactly what datafeeds were and how they can help you with your online store.

What are Product Data Feeds and How Can They Help?

It is crucial to efficiently manage your dropship inventory in order for you to run a successful dropship business. Product data feeds can be quite helpful in which to do that.

A Product Data Feed is a file that contains all of your products' information. It is sent to your ecommerce store to communicate all the information your product listings will contain.

The feeds include vital information such as available quantity, prices, titles, descriptions and images of the products you are selling. When syncing a dropship supplier’s inventory into your ecommerce store platform, you will be utilizing a product data feed. These product data feeds can come in multiple file formats. Here are the two most widely used options:

  • CSV – Comma Separated Values: A CSV, comma separated values, is a file format commonly exported from an Excel/Google spreadsheets to transfer data from one source to another. Not to be confused with the proprietary Microsoft Excel file formats (XLS and XLSX), CSV files are a simple (unformatted) export of this data. So simply, the data can be opened in a text/notepad document, however we don’t recommend doing so as an unformatted CSV can look like a jumble of words. In a CSV, you can assume all the data will be how it sounds, separated by commas and because of this, most spreadsheet programs can convert and open them into a nice displayed spreadsheet. Due to its simplicity, open format and lack of ties to any specific proprietary company, it is a very common way to export and import data from system to system, such as product data from your supplier to your ecommerce store.
     
  • XML – Extensible Markup Language: If a CSV is a toddler, XML is the teenager. While XML is also just a file containing data organized in a structured format to be able to be understood and displayed (like the CSV), it adds a layer of sophistication to the data organization. In XML files there is the concept of a hierarchy of parent “nodes” and nested child “nodes”. Instead of the data being separated by commas, XML files have “open nodes” that signify the start of data like… and “close nodes” with a forward slash like that signify the end of data. If you were to add a different node before closing the previous node, you would now have a “child node” that is nested within the parent node. Something like this:

This provides another layer or dimension of data that allows organization and display that a traditional “flat file” could not provide. Think about displaying a t-shirt on a website that has different sizes and colors. In a traditional CSV file, it would be difficult and in some cases impossible to understand if a t-shirt should be considered its own product on your website or just a different size/color variation of an existing t-shirt. With a parent/child structure outlined in an XML document, it makes it very easy to determine which t-shirts should be a “child” of the “parent” product.

These product data feeds can also come in other formats such as TXT or XLSX and all are often provided on an FTP server, an HTML link or in some cases, a daily email from your supplier. As a more advanced option, product data feeds can also be implemented over an API/EDI.

As you can imagine, making sure your product data feed is updated on your store is a vital process in order to have the most up-to-date product information and so that you don’t sell products that are out-of-stock. Dropship automation software can help you run your business more efficiently. Without an automation software, you will either have to upload your product data feed manually to your store every day, or you will have to hire a developer to write custom scripts to do it automatically. But, time is money, and hiring a developer can get expensive, especially when the script needs to be maintained. 

Dropship automation software takes care of the hard stuff for you (the coding and maintenance), and this will save you time and money, which is critical when trying to scale an online business. It will automatically upload and sync your dropship supplier’s inventory to your online store every day (even multiple times a day) to ensure you have the most up-to-date product data from your supplier.
